Hours of work 40 per week Monday - Friday between the hours of 8.00am and 5.00pm
Job Description - Operations Manager
Main Purpose and Scope of the Job role
- The post holder will oversee the co-ordination of planned, reactive and installation activities across public and private sector Client premises, ensuring accurate client records are maintained, SLA KPI’s are delivered on time and on budget.
- You will be expected to take a strategic and measured approach with regards to compliance and customer service as well as leading a team of engineers across the contracts covering electrical, mechanical, and fabric.
- You will be responsible for ensuring that all hazards are identified for jobs, reviewing contractor documents and ensuring that suitable and sufficient risk assessments are completed to reduce or eliminate risk for all works. Issuing and managing permits to work where required.
- You will ensure that KPIs are achieved and that staff are aware of their role in service delivery. Projects and routine works delivered on time, on budget with a high level of customer satisfaction
- You will generate revenue through existing Client enquiries for additional works outside of contracts.
- You will be responsible for ensuring health and safety standards are achieved across the Company.
- You will be expected to develop an in depth knowledge of building systems and strive to improve efficiencies.
- You will be expected to deliver excellent customer service.
- You will assist in the development of scope/plans for project works.
- Contribute to company growth planning. Ensuring resource levels and capabilities match scope of company growth plans.
Main Duties & Key Responsibilities
Essential Job Functions
- Manage and oversee the day to day operations and projects including scheduling and resource allocation, ensuring all tasks are completed on time, on budget and to a consistent high quality
- Prepare and submit quotations for works enquiries from existing clients
- Carry out audits and spot checks to confirm service delivery by both direct employees and sub-contractors is of the required quality and being delivered safely
- Carry out first line management duties with staff including disciplinary and employment processes.
- Monitoring of customer satisfaction ensuring that it remains high
- Prepare reports on key performance indicators and present findings to senior management
- Drive a culture of safety first and continuous improvement
- Management of contractor supply chain to ensure the business has sufficient resources in required disciplines
- Coordination and delivery of toolbox talks and safety briefings
- Ensure work equipment is maintained in accordance with Company and manufacturer recommendations
- Work as part of the trade team and participate in cross-trade working as and when required. Must be willing to carry out basic duties of mixed disciplines and attend training courses as and when required
- Keep all Personal Protective Equipment (PPE) in good condition and wear when required
- Must be willing and available to work overtime in emergency situations
- Must accept responsibility for own work and strive to complete all work to a high standard
Communication
- Maintain good communication and report directly to the relevant team members on a daily basis
- Liaise with the suppliers and contractors to request the supply of goods and/or services as necessary
- Report any PPM defects to the client in a clear and effective way and with the necessary urgency
Working Relationships
- Must maintain professional relationships with colleagues, managers, external contractors and all clients as well as maintaining an understanding of attitude towards service users
Teaching & Training
- Attend/complete all mandatory and other appropriate training and development course as identified
- Must be competent and willing to teach/supervise apprentices
- Must be competent and willing to teach/supervise other team members
- Coach and develop your team in all aspects of their role
Policies & Procedures
- Must conform to the requirements of the Health and Safety at Work Act including but not limited to, COSHH, PPE, L8 Legionella, HTM’s, Asbestos, Work permits, Water regulations, IET Regulations, Gas Safety
- Must work in accordance with Company Standards
- Must work in accordance with Company policies and procedures
- Must strive to maintain a high level of knowledge of building regulations/approved codes of practice
Administration
- Liaising with staff, contractors and suppliers to ensure that accurate information is stored correctly on the FM System
- Update FM systems with service contract information and documents
- Update FM systems with contractors service records, inspection records and statutory documents
- Ensure Company asset registers are up to date and maintained
- Prepare, issue and update H&S documents including risk and method statements and site rules for contractors
- Participate in FM service review meetings
- Prepare reports for senior management and Clients
- Administer approved supplier process and update systems with supplier documentation
- Must attend team meetings
- Must complete all necessary paperwork as instructed by management
Skills, Knowledge and Experience:
- Facilities management or building maintenance services environment experience
- Management experience
- NEBOSH General Certificate
- IT Literate
- Excellent communication skills both written and spoken
- Ability to persuade and influence with all levels of staff in a corporate environment
- Experience in building and maintaining relationships
- Excellent time management and organisational skills.
- Be flexible to work outside core hours from time to time
The post holder must be willing to attend any formal training required to maintain the high level of competency needed.
Must have in-depth knowledge of relevant Health & Safety legislation and legislation relevant to building services.
ADDITIONAL DUTIES
In addition to the above duties you will also be expected to perform the below key activities in line with your job role;
- Complete mandatory training in line with Company policy and procedures
- To keep yourself updated on all matters relating to Company policy
- To provide management supervision where appropriate
- You will be expected to work collaboratively with key partner organisations where appropriate and operationally required.
- Any other duties as delegated by Line Manager commensurate with the responsibilities of this post.
