About the Administration role
JOB TITLE: Administrator
LOCATION: Sheffield City Centre
REPORTS TO: Area Manager
SALARY: Circa £23,000 +Bonus +Benefits + Parking
Monday to Friday 09:00 to 17:00pm
The Role
We are currently looking to recruit an Administrator in Sheffield. The primary focus will be on providing reception and administrative duties for the Sheffield Building. You will also deal with maintenance issues and handle enquiries for workspace in the centre.
There may also be the occasional need to be flexible on hours worked and to deal with key holder call outs for the Centre.
The job holder should possess excellent customer service skills, good organisational skills, and the ability to work unsupervised and with initiative.
Within the role, your responsibilities will include but not be limited to:
Ensuring the smooth running of the Centre.
Ensuring Company Health and Safety Policy is adhered to.
To ensure that new and prospective tenants are fully briefed on the operation of the Centre and that they are fully aware of their responsibilities.
Deal with any visitors to the Centre.
Manage any sub contractors on site.
Prepare the monthly sales invoices for the rental fees and rechargeable services.
Check and process invoices for purchased goods and services and administer purchase invoices.
Liaise with Head Office on provision of sales/purchase account codes and all matters affecting computerised accounts.
To help the Centre operate within the agreed financial annual plan.
Assist with marketing campaigns and other promotional activity.
Assist with letting available business units and negotiating rental levels and entry terms within defined limits. Provide written quotations as appropriate and prepare associated lease documents.
Advise the utilities, local authority, security company and all relevant bodies of all occupancy changes to avoid incorrect charging.
To maintain excellent standards of site housekeeping and maintenance.
To undertake any ad hoc exercises and duties at the request of the Area Manager / Regional Executive / Senior Administrator.
